What is Keepsake exactly?

Keepsake is your personal CRM — a private space to organize your relationships, notes, and tasks. Unlike traditional CRMs designed for sales teams, Keepsake is built for individuals who want to nurture their personal and professional relationships. Think of it as your relational memory: everything connected to the people who matter to you.

How do I create an account?

It's simple: go to keepsake.place, enter your email address in the signup form, and you're in. Next time you visit, enter your email again and we'll send you a Magic Link — one click and you're logged in. If you prefer a traditional password, you can set one in User Menu > My Account. Once defined, you can log in with your email and password instead.

Who is Keepsake for?

Everyone! Keepsake is for anyone who has things to manage in their daily life — whether you work or not. Freelancers, consultants, entrepreneurs, but also active retirees, busy parents, students, or anyone dealing with mental load. If you've ever forgotten a birthday, lost track of a conversation, or wished you had one place to organize your notes, tasks, and relationships — Keepsake is for you.

Is Keepsake only for professionals?

Not at all. Keepsake brings together your notes, tasks, projects, and the people you interact with — all in one place. That's useful in everyday life, not just at work. Whether you're managing a business or managing a household, the mental load is real. We especially think of active retirees and parents — Keepsake is designed to help lighten that load.

Why pay for Keepsake when Apple Notes is free?

Apple Notes stores notes. Keepsake connects your notes, tasks, and contacts together. Does Apple Notes help you keep track of your relationships? Remind you to follow up with someone? Show you everything related to a project in one place? That said, if your current system works well for you — keep it! We all have our own way of working, and finding the right tool is always a challenge. Keepsake was born because its creator couldn't find what he needed, and it's designed for people who think the same way: something simple and effective, not a productivity powerhouse with endless options. Keepsake isn't for everyone — and that's OK.

I don't have time to migrate everything — can I still start?

You have nothing to migrate. Start with an empty Inbox. Write down whatever crosses your mind from today. Keepsake will fill up naturally, little by little. The goal isn't to replace your history — it's to give you an effective tool to better organize your future. Of course, if you ever want to import existing contacts, you can always do so later via vCard (.vcf) files.

Is there a free trial?

Yes! Just enter your email address to create an account — that's it. No personal information, no credit card, nothing else. You get 7 days of free trial with full access to all features. If you like the app, only then will you choose your plan (monthly or annual subscription) and proceed with a secure card payment through our partner Stripe.

Features

Can I format my notes with bold, lists, and checkboxes?

Yes! Keepsake supports Markdown — a simple syntax to format your text. Use **bold** for bold, *italic* for italic, - [ ] for interactive checkboxes, - for bullet lists, and # for headers. The formatting appears when you save your note. Check our complete Markdown guide for all the details.

How do I create a checklist inside a note?

Type - [ ] (dash, space, open bracket, space, close bracket) at the start of a line to create an unchecked item. Use - [x] for a checked item. Once saved, the checkboxes become interactive — click them to toggle! Press Enter to automatically continue the list. See our checklist guide for more details.

Does Keepsake work offline?

Yes! Keepsake works offline. You can capture notes, create tasks, and browse your contacts even without an internet connection. Your changes will sync automatically when you're back online. This is especially useful for QuickNotes — capture your ideas anywhere, anytime.

How do I link a note to a contact?

Simply type @ followed by the contact's name anywhere in your note. For example: "Had coffee with @John, discussed the project." The note will automatically appear in John's profile, creating a complete history of your interactions.

How do I access the Constellation (3D network view)?

The Constellation is an interactive 3D diagram that visualizes all your contacts, tasks, notes, tags, and interactions. Go to User Menu > Settings > My Constellation. Activate the feature and you'll get a unique link you can view or share. For now it's a visualization tool, but it will evolve — your suggestions are welcome!

What's the difference between tags and pages?

Tags (#tag#) are for quick categorization — add them anywhere to group related content. Pages ([[Page name]]) are for more structured content that deserves its own dedicated space. Both automatically collect everything linked to them. Think of tags as labels and pages as folders with superpowers.

How do I use tags to organize my content?

Type #tag name# (the closing # is inserted automatically) or [[tag name]] (double square brackets) anywhere in a note, task, or entry. When you save, recognized tags appear highlighted and become clickable — tap one to jump straight to its project page, where you'll find all related notes, entries, and tasks in one place. All your tags and projects are also accessible anytime from the "All Pages" menu or through the search.

Can I sync my tasks with my calendar?

Yes! Keepsake offers a calendar feed (webcal) that lets you subscribe to your tasks from any calendar app — Apple Calendar, Google Calendar, Outlook, and more. Your pending tasks appear as all-day events on the right dates. The feed is read-only: your calendar app displays the tasks, but you manage them in Keepsake. To enable it, go to Settings → Calendar and activate the feed. Note: Keepsake uses Time Blocks for task management (sequential, not hourly scheduling), so the calendar feed is a complement — not a replacement — for the Day view in Keepsake.

How often does my calendar update with new tasks?

It depends on your calendar app. Apple Calendar can refresh as often as every 5 minutes (configurable in subscription settings). Google Calendar refreshes subscribed calendars about once every 12–24 hours — this is a Google limitation, not a Keepsake one. Outlook typically refreshes every few hours. If you need an immediate update, you can remove and re-add the calendar subscription to force a refresh.

What are Time Blocks and how do they work?

Time Blocks are Keepsake's unique approach to task management. Instead of scheduling tasks at specific times (like a calendar), you organize them in sequence — one after another. If you finish early, you're free. If it takes longer, the next block simply moves. No guilt, no rescheduling chaos. It's flexible productivity that adapts to real life.

What happens to unfinished tasks at the end of the day?

Keepsake doesn't shame you for unfinished tasks! Every task card has a small >> button — tap it to reschedule instantly. Choose from smart options like Tomorrow, Next Monday, In one week, or pick any custom date. You can also select "One day maybe" to keep a task without committing to a specific date. How do I postpone or reschedule a task to another day?

Look for the small >> button on any task card — it's your reschedule shortcut. Tap it to open a menu with smart date options: ASAP, Today, Tomorrow, Next Monday, In one week, In one month, and more. You can also pick a custom date or choose "One day maybe" to keep the task without scheduling it. The task moves instantly — no confirmation needed for most options.

Can I create recurring or repeating tasks?

Yes! When creating a task, you can set it to repeat on a fixed schedule (every X days, weeks, months, or years). Keepsake supports two modes: Fixed date — tasks appear on a set schedule regardless of completion (e.g. rent on the 1st), and After completion — the next task only appears after you complete the current one (e.g. water plants every 3 days). Recurring tasks appear automatically when you navigate to future days — no manual creation needed. See our recurring tasks guide for details.

Do recurring tasks show up on future days?

Yes! Navigate to any future day using the arrows in the Day view, and your recurring tasks will already be there. They are projected automatically based on your schedule. When you interact with a future recurring task (check it off, snooze it, or edit it), Keepsake creates the actual task at that moment. If you haven't opened the app for a few days, missed occurrences (up to 7 days) will appear on today's view.

Can I manage companies, not just individual contacts?

Yes! Since v0.11, Keepsake supports Company Profiles as first-class entities. Create a profile for each organization with name, website, email, phone, address, and notes. Link your contacts to companies (with optional roles like "Sales Director"), and see all related tasks, notes, and history in one place. Companies are also searchable with Cmd+K and can be @mentioned in your notes. See our Company Profiles guide for details.

Can I @mention companies in my notes and tasks?

Yes! Since v0.12, companies appear in the @ suggestions alongside your contacts. Type @ followed by the company name in any note, task, or entry. Companies are marked with a building icon in the dropdown. You can even mix contact and company mentions: "Meeting with @Marie at @Synapse Technologies."

Can I use voice dictation to capture notes?

Yes! While Keepsake doesn't have a built-in microphone, you can use your device's native voice dictation in any text field. On iPhone, tap the microphone icon on your keyboard. On Android, tap the mic on Gboard. On Mac, press Fn twice. On Windows, press Windows + H. Your voice is transcribed into text that you can save as a QuickNote — perfect for hands-free note-taking while driving or walking.

How do I create a task from a note?

Use the QuickNote bar at the top of the page. Type your text followed by T+ and a number: for example, "Buy bread T+2" will create a task called "Buy bread" due in two days. T+0 = today, T+1 = tomorrow, T+7 = next week. The app detects the T+ code automatically and turns your note into a scheduled task — no extra steps needed.

Can I use Keepsake with my AI assistant?

Yes! Keepsake integrates with Claude, ChatGPT, Cursor, and any AI agent that supports Agent Skills, MCP, or REST APIs. Mobile & Installation

How do I install Keepsake on my phone?

Keepsake is a Progressive Web App (PWA) — no app store needed. On iPhone: open app.keepsake.place in Safari, tap the Share button, then "Add to Home Screen". On Android: open it in Chrome, tap the menu (3 dots), then "Add to Home screen" or "Install app". You'll get a full-screen, app-like experience with offline support.

Can I install Keepsake on my Mac or Windows computer?

Yes! On Mac: open app.keepsake.place in Safari, click Share, then "Add to Dock". On Windows: open it in Edge, click the menu (3 dots), then "Apps" > "Install Keepsake". Chrome works on both platforms too. Once installed, Keepsake opens in its own window like a native app.

I see an error message or the app behaves unexpectedly — what should I do?

After an update, your device may still be running an older version of the app from cache. Here's how to force a refresh:

On desktop (Chrome, Firefox, Edge):
Go to app.keepsake.place and press Ctrl+Shift+R (Windows/Linux) or Cmd+Shift+R (Mac).

On desktop (Safari):
Press Cmd+Option+E to clear the cache, then Cmd+R to reload.

On iPhone/iPad:
Close the app completely (swipe it away from the app switcher), then reopen it. If the issue persists, go to SettingsSafariClear History and Website Data, then reopen Keepsake.

On Android:
Close the app completely, then reopen it. If needed, go to SettingsAppsKeepsakeStorageClear Cache.

Who owns my data?

You do. Your data belongs to you, always. We don't sell your data, we don't use it for advertising, and we don't share it with third parties. You can export all your data at any time from User MenuMy Account.

Can I export my data?

Yes, absolutely. Go to User MenuMy Account. From there, you can: 1. Download all your data (contacts, notes, tasks, entries — everything), or 2. Delete your account if you wish. Your data belongs to you — we make it easy to take it with you, anytime.

Can I import contacts from another app?

Yes! Keepsake supports importing contacts via vCard files (.vcf) — the universal contact format used by Apple, Google, Outlook, and most phone apps. Open the User Menu (your name, bottom left on desktop — or top right on mobile) and select "Import a vCard", then pick your file. You can import: a single-contact vCard, a multi-contact vCard (e.g. your entire address book exported as one file), or multiple individual vCard files. What happens to my data if Keepsake shuts down?

Your data belongs to you — that will never change. You can export everything at any time (contacts, notes, tasks) in JSON format. If one day the service were to stop — which is not in our plans — we commit to: 1. Notifying all users well in advance, 2. Keeping the service running long enough for everyone to retrieve their data, 3. Providing additional export tools if needed. Subscribing to Keepsake is a mutual commitment: you trust us, and we commit to being worthy of that trust.

Account & Billing

How do I cancel my subscription?

You can cancel anytime from User MenuAccountSubscription. Your access continues until the end of your billing period. No questions asked, no hoops to jump through. You can also export your data before canceling.

What payment methods do you accept?

We accept all major credit cards (Visa, Mastercard, American Express) through our secure payment provider Stripe. All transactions are encrypted and we never store your card details.

I'm stuck on the pricing page after paying — what should I do?

This can happen when the app's cache hasn't refreshed after your payment. Here's how to fix it:

On desktop:
Go to app.keepsake.place and force-reload the page: Ctrl+Shift+R (Windows) or Cmd+Shift+R (Mac). On Safari (Mac): press Cmd+Option+E first, then Cmd+R.

On mobile (installed app):
Close the app completely (don't just put it in the background — swipe it away), then reopen it.
